Transcript text with line numbers

Transcript PDF to text with the line numbers kept

Copying from a transcript PDF drops the numbers in the margin or scatters them through the text. This puts each number back in front of its own line, with the page number, so a quotation can be cited from the text alone.

What text with line numbers means here

Transcript text with line numbers is the testimony as plain text in which each line carries the page and line number it had in the PDF: 2:9, 2:10, 2:11 and so on. It is for the moment when you need to cite or compare a passage and do not want to open the PDF each time.

The numbers are ordinary characters at the start of each line, so the text pastes anywhere. Nothing about the format depends on a particular program.

How it works

  1. Convert the transcript

Use the workbench above. The sample shows what the result looks like before you spend your free conversion on a real file.

  2. Leave the output on Numbered lines

This is the format that puts the page and line in front of every line. Clean paragraphs are for reading and carry a range at the start of each paragraph instead.

  3. Check where the page numbers come from

Open Checks. It says whether page numbers were read from the top or bottom of the page or inferred. If they were read from the wrong place, change Page numbers under Options and the text is re-formatted at once.

  4. Copy the text

Copy Markdown puts the text on the clipboard. Download .md saves it. Both are plain text, and the numbers are ordinary characters at the start of each line.

Before and after

On the left, a page of the sample as a PDF converter can hand it over: the number in front of each line and no page. On the right, the same lines as DepoScript writes them. Both were produced by running this site's code on the sample.

Line numbers only

9 Q. Good morning, Mr. Smith. Please state your full

11 A. John Allen Smith.

12 Q. And where are you employed?

13 A. I am the director of operations at Northgate

Page and line on every line

2:9 Q. Good morning, Mr. Smith. Please state your full
2:10 name for the record.

2:11 A. John Allen Smith.

2:12 Q. And where are you employed?

2:13 A. I am the director of operations at Northgate

The page number was found at the top of the page, so every line now starts with 2:. A cite for the first answer is Smith Dep. 2:11, and a cite for the first question is Smith Dep. 2:9–10.

Page and line options

The defaults work for the usual layout. Change an option only when Checks tells you something looks off.

Page numbers
Detect, top of page or bottom of page. Detect tries both and says in Checks which one it used.
Lines per page
25 unless you choose 24, 26, 28 or 30. A page that does not have the number you set is flagged.
First page number
Used only when the PDF prints no page numbers. Pages are counted up from it, and each is marked as inferred.

Compared with the other routes

Aspect Copy from the PDF by hand Generic PDF-to-text DepoScript
Margin numbers Selected and copied apart from the text, then lined up by eye. Come out as a separate list of numbers, or in the middle of sentences. Put back in front of the line they belong to.
Blank numbered lines Skipped, so later lines look one number out. Dropped, so the count slips. Kept. A blank line keeps its number, so line 3 is still line 3.
Page numbers Read off each page and typed in. Left in the running text or lost. Read from the printed label at the top or bottom of the page and added to every line. Numbers worked out from neighbouring pages are labelled.
Pages with another line count You count the lines. Not noticed. Lines per page can be set under Options, and a page that does not match is flagged.
A line that did not come through Noticed if you happen to read the PDF alongside. Not noticed. Later lines slide up one. Kept as [line not extracted], so later lines keep their numbers, and listed in Checks.
General descriptions of copying by hand and of generic PDF-to-text tools. Results vary by tool and by PDF.

What it does not do

Before you rely on it

The text is a machine reading of a PDF. A number can be attached to the wrong line, and a word can be misread, without the sequence checks noticing. Check every quotation against the certified transcript before you file or send it.

DepoScript does not review a transcript for privilege or confidentiality, does not check it against a protective order, and gives no legal advice. The privacy policy says what happens to a file here.

Questions

Why do the line numbers disappear when I copy from the PDF?

Transcripts are typeset with the line numbers in a column of their own at the margin. Many PDF viewers copy that column as one block or mix it into the text, and what you get depends on how the reporter's software produced the file. Putting each number back on its line is the job this page is about.

Can I get a .txt file?

The download is a .md file, which is plain text. Rename it to .txt, or paste the text where you need it. The Numbered lines format is ordinary characters, with no Markdown syntax in the lines themselves.

Does it keep blank numbered lines?

Yes. A numbered line with nothing on it stays on the page with its number, so line 4 is still line 4 and the lines after it are not renumbered.

My transcript has 24, 28 or 30 lines on a page.

Choose the number under Options, where Lines per page offers 24, 25, 26, 28 and 30. A page that does not match the setting is flagged in Checks.

The page numbers are at the bottom of the page.

Leave Page numbers on detect, or choose bottom of page under Options. The text is re-formatted in your browser as soon as you change it.

What if the PDF prints no page numbers?

Pages are then counted from the number you enter as First page number under Options, and each page is marked as inferred in the page view and in Checks. Check the first page against the printed transcript before you rely on the rest.

What does [line not extracted] mean?

A numbered line was found in the sequence but its text could not be read. The placeholder holds the number so that the lines after it stay correct. The Checks tab lists the page. Read the line in the PDF before you quote around it.

Will the line numbers always be right?

The sequence is checked: a repeated number, a skipped number, a short page or numbers that may have shifted are flagged. A fault that leaves the sequence intact, such as text attached to the wrong number, may not be caught. Check each quotation against the certified transcript.

Can I paste the text into Word and keep the numbers?

The numbers paste as ordinary characters at the start of each line. Word does not treat them as its own line numbering, so they stay put when you edit around them and do not renumber if you delete a line.

How many pages can I convert?

Free: 1 file per day, up to 10 pages, no account. Pro and Firm take files up to 150 pages. A 300-page transcript is over the current 150-page file limit. Split the PDF into parts of 150 pages or fewer and convert each part. Page numbers are read from the printed pages, so cites keep the transcript's own numbering; if a part prints no page numbers, set the first page number under Options.
